VelocityVet LLC (“VelocityVet”, “we”) provides software that veterinary practices use to collect a pet's history before an appointment and prepare it for the veterinary team. This policy explains what information we handle, how we use it and the choices you have.
Who this policy covers
It covers pet owners who answer a VelocityVet intake, in the clinic or from a link, and staff of veterinary practices that use VelocityVet. For pet owners, the veterinary practice you visit decides how your information is used for your pet's care, and we handle it on the practice's behalf.
Information we collect
- From pet owners: your name, phone number and email address as given to your veterinary practice; your pet's details (name, species, breed, sex, age and weight); and your answers to the intake questions, such as symptoms, health history, medications and diet.
- Voice answers: if you answer by voice, your speech is converted to text so the conversation can continue. We keep the text of your answers, not the audio.
- From practice staff: name, email address, phone number, role, professional details and sign-in information.
- Cookies: we use cookies only to keep staff signed in and to remember which practice they are working in. We do not use advertising or tracking cookies.
How we use information
- To run the intake and prepare a summary of your pet's history for the veterinary team.
- To send text messages your veterinary practice asks us to send, such as a link to complete your pet's intake before an appointment.
- To operate, secure and support the service for veterinary practices.
We do not sell personal information.
Who we share information with
- Your veterinary practice: your answers and the summary are available to staff of the practice you are visiting.
- Service providers that process information on our behalf to run VelocityVet: Anthropic (AI processing of the intake conversation and summary), Deepgram (speech-to-text), ElevenLabs (text-to-speech), Twilio (text messages), Supabase (database hosting) and Vercel (application hosting). They may use it only to provide their services to us.
- Legal requirements: when required by law, or to protect the safety or rights of people, animals or VelocityVet.
Text messages
If your veterinary practice texts you through VelocityVet, we use your mobile number only to send messages about your pet's care at that practice. Message frequency varies, and message and data rates may apply. Reply STOP to stop receiving messages or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories of sharing above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
How long we keep information
We keep intake records while the practice uses VelocityVet, or as long as needed to provide the service and meet legal obligations. Practices can ask us to delete their data.
Your choices
To see, correct or delete information about you or your pet, contact your veterinary practice or email us at hello@velocityvet.ai.
Security
Information is encrypted in transit and stored with a database provider that encrypts it at rest. Access is limited to signed-in staff of the practice and to the service providers listed above.
Children
VelocityVet is not intended for children under 13, and we do not knowingly collect their information.
Changes to this policy
We may update this policy. The date at the top shows when it last changed.
